ACTIVITIES WEEK 2013

Dear Parents, Carers and Students,

Activities Week has been running at Honiton Community College for a number of years now and has continued to grow in popularity.  The week off timetabled lessons gives students the chance to learn outside of the classroom and allows staff and students to work together in less formal situations.

It provides students with the opportunity to see and experience cities and attractions both in the UK and abroad. It allows students to learn in a completely different environment and work with students from other year groups.  Students can select an activity which they are already interested in and already participate in, or select an activity completely new to them.

This booklet is divided into two sections. The first section details the site based, local activities and day trips. These activities will start and finish everyday on the College site. The second section of this booklet lists the residential activities on offer. All of these activities will involve students staying away from home for a period of time.

We have made an effort to offer a wide variety of activities, many inexpensive or cost free. We are deliberately releasing this information and choice selection as early as possible to allow you time to save and pay in installments for more expensive trips and visits.  Our aim is to provide a realistic, demanding and enriched selection of activities that fully engage your child.  In order to cover the cost of the activities that require payment, we must ask for a contribution from parents.  We always ensure that any parental contribution is as small as possible but we must stress that without enough contributions activities may not be able to take place.

Please note that if enough money to run an activity isn’t raised the activity will be cancelled.

Payment can be made by either debit/credit card via “Parentpay” on the College website.  Please note that this is now our preferred method of payment for all trips and activities.  If you do not have access to the internet please contact the Finance Office to discuss alternative methods of payment (Paypoint). There may be financial support available for those eligible. Parents who would qualify for support are those who are in receipt of eligible benefits, such as:

  • Income Support
  • Income-based Jobseekers Allowance
  • Support under Part 6 of the Immigration and Asylum Act 1999
  • Child Tax Credit (providing that they are not entitled to Working Tax Credit and have an annual income, assessed by Her Majesty’s Revenue and Customs, that  does not exceed £16,190, for the year (2011-12).
  • The guaranteed element of State Pension Credit.

Parents/carers of those children entitled to Free School Meals should contact the Finance Office for clarification of payment amount.

Please read this booklet carefully before making your choices. You will need to make a first, second and third choice and complete the attached Activities Week Choice Form at the back of this booklet. Once the selection process is complete, letters will be sent home confirming the activity choice for each student and advising of the payment requirements.

Arranging these activities requires considerable planning and, therefore, we request your assistance in choice procedure and deadlines. If you encounter any difficulty or concerns then please contact me at the College.

KEY DATES:

Application forms to be returned to Michelle in the Student Office by:  Friday 16th November

Confirmation letters for activities to be sent out with payment details:  During November and December 2012.  (This may vary, as some of the residential trips require deposits earlier)

Activities Week deposits to be paid by: Friday 21st December 2012

Activities Week final payments will need to be paid a couple of months before Activities Week,  and as dictated in your Activities Week Payment letter which will be sent out to you with your Confirmation of Activities letter.

Guidelines and Conditions

ALL STUDENTS IN YEARS 7, 8, and 9 should select ONE activity to participate in for the whole week. Students in year 12 should select from the sixth form activities available (options 10, 15, 16, 17 and 18). Activities are optional for students in year 11 who intend to continue into the Sixth Form.

ATTENDANCE

We regard Activities Week as an important part of your son/daughter’s education, and expect normal attendance.  Reasons for non-attendance will be required as usual since the College has to provide details of all unauthorised absences to the Department of Education.  Every absence must be supported by a parental explanation which will be authorised by the College if the reason is acceptable.  Please note that annual family holidays will not be an acceptable reason for absence.

SELECTING AN ACTIVITY

All activities have a limited number of places.  Students will be allocated on a first come, first served basis.  You will need to make a first, second and third choice and complete the attached form, which is at the back of the booklet.

The choice form has to be completed and returned to reception by Friday 16th November 2012. Every effort will be made to give each student their first choice, but no guarantee can be given.  The returned forms will be date stamped and priority will be given to those application forms which are handed in first.

COSTS

Many of the prices quoted for the activities in this booklet depend upon achieving minimum numbers of students.  If we are unable to achieve this then we may have to cancel an activity or reduce the number of students.  We endeavour to do this on a fair and equitable basis.

The costs of all the activities in this booklet are currently estimated costs and will be adhered to unless there are unforeseen circumstances.  We hope these costs will not change but if they do it will only be a small difference and you will be given as much notification as possible.  Honiton Community College Academy Trust reserves the right to make alterations if necessary.

PAYMENT

Letters will be sent confirming the activity choice for each student and advising of the payment requirements. Please note at this stage we will be asking for a non-refundable or transferrable deposit to be paid immediately. If due to low numbers the activity is cancelled then the deposit will be returned.

The system for payment for the activities will be via the ParentPay electronic payment system.
